Overview 

Edmonton Japanese Community Association (“EJCA”, “Association”) collects personal information (such as name, address, phone number, and email addresses) for one or more of the following purposes:

• Processing memberships.

• Contacting members about renewing their membership, taking on a volunteer task, registration for events.

• Providing newsletters and other Association-related information by postal mail or email.

• Communicating with members to request feedback for the development of activities, products, and services related to the Association’s operation.

• Having emergency contact information for participants in Association events.

• Providing contact information for events published in the newsletter, emails, website and media. 

EJCA will obtain permission from non-member volunteers before publishing their contact information (name, telephone number and/or email address) in print or electronic media.

Upon request, EJCA will provide individual members and non-member volunteers/contacts with access to all information that is maintained about them in the EJCA database. For any further information, send us an email at webadmin@ejca.org.

What information do we collect from you?

Personal Data

When applying or renewing your EJCA membership or enrolling in association events, we may ask you to provide us with certain personally identifiable information that can be used to contact or identify you ("Personal Data"). This may include, but is not limited to:

• Email

• First name and last name

• Phone number

• Mailing address

The mailing address is for example requested from members who prefer to receive a print version of our moshi moshi newsletter. You may decline to share certain personal data with us, in which case we may not be able to administer your membership or provide to you some of the features and functionality of the service.

Online Payments

If you make a payment online such as for initializing or renewing a membership or for paid events, your card information is not held by our membership service. It is collected by the third party payment processor PayPal which specializes in the secure online processing of credit card transactions.

Why do we collect this information?

Use of Data

We may use this information provided in the following ways:

• Administer your EJCA membership and provide membership information and membership benefits to you

• Send you communications which you have requested and that may be of interest to you, such as newsletters notifying you of various matters, including upcoming events

• Process orders that you have submitted, such as attending a society event

• Process a payment that you have made

• Carry out our obligations arising from any contracts entered into between you and us and to provide you with any products or services that you request from us

• Provide and maintain our services

• Seek your views or comments on our services

• Notify you of changes to services

Who might we share your information with?

We will never sell or rent your information to other parties. 

Legal Requirements

We may disclose your personal data in the belief that such action is necessary to:

• comply with a legal obligation

• protect and defend the rights or property of the EJCA

• prevent or investigate possible wrongdoing in connection with EJCA

• protect the personal safety of members or the public

• protect against legal liability

How do we protect your information?

Security of Data

The security of your data is important to us but remember that no method of transmission over the Internet, or method of electronic storage is 100% secure. While we strive to use commercially acceptable means to protect your personal data, we cannot guarantee its absolute security.

We have implemented generally accepted standards of technology and operational security in order to protect personal data from loss, misuse, or unauthorized alteration or destruction.

For any payments which we take from you online we will use a recognized online secure payment system.

We will notify you promptly in the event of any breach of your personal data which might expose you to serious risk.

How long do we keep your information?

We will hold your personal data on our systems for as long as you remain a member of EJCA.  Should your membership lapse, we will still retain your details for some period of time before deleting it from our systems. If you subsequently choose to re-join, you may be required to provide the information again. Annual memberships expire on December 31st of each year.

Your choices

Communications

All members will receive emails regarding association business. If you do not want to receive direct communications from us about these events and services, then you can select your choices by ticking the relevant boxes situated under the ‘Email Subscriptions’ tab on your profile page. Unsubscribing from emails will mean that you do not receive all association emails. If you have unsubscribed from email and wish to receive updates on the association, please monitor the web site for information.

Updating your information

The accuracy of your information is important to us. If you need to update any information about yourself then you can do so by editing your profile page.  If the information field is ‘admin-only’ and you cannot change it, please contact us (preferably by emailing membership@ejca.org) to correct it for you.

Setting the privacy levels of your information

The default privacy setting does not allow other logged-in members to view your name, telephone number, email and address.  You can change your privacy settings at any time using the ‘Privacy’ tab on your profile page.

Your Rights 

Following sound and common data protection rights, you (the member or registered contact) have the rights:

• to access your personal data

• to be provided with information about how your personal data is processed

• to have your personal data corrected

• to have your personal data erased in certain circumstances

• to object to or restrict how your personal data is processed

• to have your personal data transferred to yourself or to another business in certain circumstances

• to erase all personal data

In the event that you request erasure of personal data it may not be possible to continue your membership or to ensure delivery of the newsletter (online or print).

You have the right to take any complaints about how we process your personal data to the Board of the EJCA (preferably by emailing board@ejca.org).

Changes To This Privacy Policy

We may update our Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page.

We will let you know via email and/or a prominent notice on our website, prior to the change becoming effective and update the "effective date" at the top of this Privacy Policy.

会費や行事の支払いをオンラインでする場合、会員のクレジットカードの情報はEJCAでは扱いません。すべてクレジットカードでの支払い専門仲介業者のPayPalが業務をします。会員は自分でPayPalを通してEJCAの支払いをします。

EJCAはあなたの情報をいつまで保存するのでしょうか？

会員の個人情報はあなたが会員である間はシステムに入っています。会員の期間が過ぎた場合は一定期間が過ぎると情報を消去します。消去後に再び会員になる場合は、新しく情報を入れていただきます。会員資格は毎年12月31日で切れます。

お知らせ

会員はEJCAからメールでお知らせを受けます。お知らせを受けたくない場合は、登録書の‘Email Subscriptions’の項でそのようにお答えください。メールをお断りになったら、協会の情報はWebsiteからお調べください。

個人情報の更新

あなたの個人情報が正確であることが、EJCAにとってとても大事です。個人情報を更新したい時は、EJCAウェブサイトのプロファイルのページから更新してください。もしプロファイルがAdmin-onlyと表示されていて更新出来ない時は電子メールで次に連絡してください。membership@ejca.org
